Terms & Conditions

Hire terms for Sweeney Audio equipment bookings, delivery, setup and event support across London and Hertfordshire.

These terms apply to equipment hire and related services supplied by Sweeney Audio, a trading name of WEDJ Hire Ltd. They are intended to set out the basis on which we accept bookings, supply equipment, and support events.

Important: any quote, invoice, confirmation email, delivery note or written booking message from Sweeney Audio forms part of the agreement as well. Where a quote or booking confirmation includes specific commercial terms, those terms take priority over general wording on this page.

1. Booking Overview

We supply DJ equipment, sound systems, microphones, lighting, booths and related event hire services. Bookings are accepted subject to availability, suitable access, and our written confirmation.

Our service often includes delivery, collection and setup support, but each booking is agreed individually depending on the venue, timing, access requirements and the equipment involved.

2. When The Agreement Starts

A hire agreement is formed when we confirm the booking in writing. This may be by email, WhatsApp, invoice, payment request or another written confirmation from Sweeney Audio.

  • Quotations are invitations to book, not guaranteed reservations.
  • Availability is not secured until we confirm the booking.
  • We may decline or cancel a booking before confirmation if equipment becomes unavailable, access is unsuitable, or important booking details are incomplete.

3. Pricing, Deposits And Payment

Hire charges, delivery costs, setup charges, deposits and payment deadlines will be set out in the quote, invoice or booking confirmation for the job.

  • Unless otherwise agreed, payment must be made in cleared funds by the deadline shown on the invoice or confirmation.
  • We may require a deposit or full payment in advance in order to secure the booking.
  • If payment is late, we may suspend, delay or cancel the booking.
  • All prices are subject to any extra agreed costs arising from changes to venue, timing, staffing, access or equipment requirements.

4. Delivery, Collection And Access

Where delivery or collection is included, the hirer is responsible for providing accurate venue details, realistic load-in/load-out times, and safe access to and from the site.

  • The hirer must tell us in advance about stairs, lifts, parking restrictions, time-limited access, security procedures or unusual site conditions.
  • If access is delayed or restricted, additional charges may apply where extra time, labour or transport is required.
  • The hirer must ensure the venue is ready to receive the equipment at the agreed time.
  • Where customer collection is agreed, risk passes to the hirer on collection and remains with the hirer until the equipment is returned and checked.

5. Hire Period And Return

The hire period is the period stated in the booking confirmation. Equipment must be available for collection or return at the agreed time and in the same condition in which it was supplied, fair wear and tear excepted.

  • Equipment must not be retained beyond the agreed hire period without our prior written approval.
  • Late return or delayed collection caused by the hirer may result in additional hire charges and related costs.
  • We reserve the right to inspect all equipment on return before confirming that the hire has ended without issue.

6. Hirer Responsibilities

The hirer is responsible for all equipment from the point it is delivered, collected, handed over or left on site for the hirer’s use, until it is recovered by us or returned and accepted by us.

  • Equipment must be used only for its proper purpose and only by competent persons.
  • Equipment must not be sub-hired, transferred, altered, tampered with or repaired without our permission.
  • The hirer must keep the equipment safe, dry, secure and protected from misuse, theft, smoke fluid contamination, weather damage and careless handling.
  • The hirer must ensure children, guests and venue staff do not interfere with the equipment or cables.

7. Power, Site Conditions And Setup

The hirer must ensure the venue provides suitable mains power, sufficient space, safe flooring, weather protection where needed, and any permissions required for the use of sound, lighting or staging equipment.

  • Outdoor use must be agreed in advance.
  • Equipment must not be exposed to rain, damp, excessive heat, unsafe power supplies or unstable staging areas.
  • If a site is unsafe or unsuitable, we may refuse setup or require the hire arrangement to be changed.

8. Faults, Breakdown And Support

If equipment appears faulty during the hire, the hirer must stop using it immediately and contact us as soon as possible. We will make reasonable efforts to advise remotely, attend site, replace the item or offer a practical alternative where circumstances allow.

  • We are not responsible for issues caused by misuse, unsuitable power, third-party interference, venue systems or unauthorised setup changes.
  • The hirer must not attempt repairs, rewiring or internal inspection.
  • Any issue must be reported promptly so that we have a fair opportunity to assist.

9. Loss, Damage And Missing Items

The hirer is responsible for loss of or damage to the equipment during the hire period, other than where caused directly by our negligence.

  • This includes theft, accidental damage, liquid damage, speaker or driver damage caused by misuse, broken screens, bent tonearms, damaged connectors, missing cables, missing accessories and cosmetic or structural damage beyond normal wear.
  • The hirer must reimburse us for repair, replacement, cleaning, testing, lost hire revenue and any related costs reasonably incurred as a result of the loss or damage.
  • The hirer should ensure they have suitable event or venue insurance where appropriate.

10. Cancellation, Postponement And Changes

If a booking is cancelled, postponed or materially changed by the hirer, we reserve the right to retain any non-refundable deposit and to charge for costs already incurred or committed.

  • Short-notice cancellations are more likely to incur charges because equipment, delivery slots and staffing may already be reserved.
  • Postponements are treated case by case and remain subject to availability.
  • Changes to venue, date, timing, staffing, access or equipment list may result in revised pricing.

11. Liability

Nothing in these terms excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot legally be excluded.

Subject to that, our total liability in connection with a booking is limited to the amount paid for the relevant hire, and we are not liable for indirect or consequential losses, loss of profit, loss of event revenue, loss of opportunity, or third-party claims unless the law requires otherwise.

We are also not liable for failures or delays caused by events beyond our reasonable control, including severe weather, vehicle breakdown, road closures, venue failures, civil disruption, utility interruption or force majeure events.

12. Personal Data And Communications

We use customer contact details and booking information to quote, confirm, deliver, collect and support bookings. By contacting us or placing a booking, you agree that we may use your details for those operational purposes.

We will only use personal data in connection with legitimate business activity relating to your enquiry, booking or aftercare, subject to our normal privacy and record-keeping practices.

13. Governing Law

These terms and any booking with Sweeney Audio are governed by the laws of England and Wales. Any dispute arising from or connected with a booking will be subject to the jurisdiction of the courts of England and Wales, unless another mandatory legal forum applies.
